Construction equipment financed through a manufacturer subsidy program

Subsidy Requests That Fill Themselves: AI Document Automation for Equipment Finance

From re-typing invoices to one upload: how AutoDocX automated manufacturer subsidy requests

The Challenge

A leading U.S. equipment finance company relies on manufacturer subsidy programs to lower financing costs for its customers. Every subsidy request had to be backed by the equipment invoice, and preparing it was entirely manual.
Dealers emailed manufacturer invoices to the subsidy team. Someone opened each PDF, read it line by line and re-typed the model, serial number and cost into an Excel form, while also looking up deal details on lease system screens. Requests were tracked in scattered spreadsheets, and every re-typed number was a chance for an error.

The dataCRaiM Solution

DataCRaiM delivered a Subsidy Portal powered by AutoDocX, its intelligent document processing product:

  • A central web portal with Microsoft single sign-on that replaces Excel-based tracking
  • AutoDocX document intelligence, combining Microsoft Azure AI and OpenAI language models, to read invoice layouts and extract model, serial number, dealer cost, invoice number and payment status
  • A Microsoft Power Automate integration that pulls contract details from the lease management system automatically
  • Pre-filled subsidy requests: the team reviews, makes any small fix and saves a finished PDF
  • Deployed inside the client's own Microsoft Azure environment, so data stays under their control

Impact

  • Far Less Manual Typing – Invoice and deal fields once keyed by hand are now filled automatically after a single upload.
  • Fewer Errors – No re-keying between PDFs, screens and spreadsheets means fewer data-entry mistakes.
  • Faster Requests, Built to Grow – Requests move from invoice to finished form faster, and the design is ready for additional manufacturer programs.
